For unplanned events, a different tool is needed, and the boundary between the two is the point of this page.

What is a CMMS?

A CMMS, or computerised maintenance management system, is software for planning, executing and tracking maintenance on assets and facilities. It says when an asset is due for inspection, holds the history, and makes sure no preventive maintenance falls through the cracks.

This page is direct about one thing from the start. GSFleet Response is not a CMMS. Explaining why, and where the boundary between the two runs, is the whole point, because a critical infrastructure operation usually needs both a maintenance system and an operational response capability, and they solve different problems.

CMMS: Computerised maintenance management system. Software that plans, schedules and tracks preventive maintenance on assets and facilities, built around intervals, history and periodic tasks.

What is a CMMS built for?

A CMMS is planning-driven. It starts from what needs to be done and when: maintenance plans, intervals, preventive tasks. It holds a register of the assets and their history, and it generates maintenance work orders on schedule.

For an operation with a large asset base, it is indispensable, and within its own domain it is hard to replace. The world of planned maintenance is well ordered, and CMMS is its tool.

Where does the planning-driven approach fall short?

Planning-driven maintenance ends where the unplanned begins. A fault that follows no maintenance interval, a disruption, a breakdown. In that moment the question is not which maintenance plan applies, because no plan anticipated the event. The question is who is nearest, free and authorised to respond now.

That is a different kind of question from the one a CMMS is built to answer, and it is not a shortcoming of the CMMS. It is outside its remit.

How do CMMS and operational response work side by side?

The CMMS owns the planned. Operational response owns the unplanned. An operation that has the first but not the second is well equipped for scheduled maintenance and vulnerable when something unexpected happens.

That the gap exists is rarely felt in calm periods, which is precisely why it stays unaddressed.

Where Response fits

GSFleet Response is the operational response layer, not the maintenance system. When something unplanned happens, Response gives the operations organisation a real-time view of available personnel, competence and equipment, so the right resource can be mobilised directly. It is intended to sit alongside your CMMS, not compete with it. The CMMS plans the maintenance. Response handles what no maintenance plan could anticipate.

Related reading

Related resources in the same content network:

Critical incident management for critical infrastructure

Work order management for field service

Frequently asked questions

Is GSFleet Response a CMMS?

No. Response is an operational response tool for unplanned events. It is intended to complement a CMMS, not replace it.

Do we need both a CMMS and Response?

Usually yes. They solve different problems: the CMMS handles planned maintenance, Response handles the urgent response when something unforeseen happens.

What distinguishes preventive maintenance from operational response?

Preventive maintenance is planned work on an interval.
